FINANCIAL POLICY

Parenting is daunting. It’s all about always striving for perfection in every part of your child’s life and giving serious deliberation to every choice you make for them. The perfect pediatric healthcare experience can only be achieved if the physicians and office staff align with your values and principles concerning their medical care. The following checklist is an overview of what Pediatric Healthcare of Northwest Houston can offer you. Please take a moment to make sure we would be perfect for you and your child. We’re excited to meet you and create a relationship we both love.

All Payment Is Expected At The Time Of Service

Payment is required at the time services are rendered unless other arrangements have been made in advance. This includes applicable coinsurance and co-payments for participating insurance companies. Pediatric Healthcare accepts cash, personal check (in-state only), VISA, MasterCard, Discover, and American Express. There is a service charge of $25.00 for returned checks.

We realize that people have financial difficulty. Therefore, we may advise you to sign a budget agreement to guarantee a payment arrangement. Please check with our Front Office and/or our Billing Department to make payment and/or financial arrangements.

Vaccines:

The Pediatric Healthcare of Northwest Houston Community believes strongly in the effectiveness and benefits of immunization. We will only accept new patients that have taken the decision to immunize their child. Our vaccine policy follows the guidelines of the American Academy of Pediatrics.

Antibiotics:

We try to not misuse medication in our treatments and strive to educate the community on the proper use of antibiotics. We do not prescribe medication online or on the phone without a visit, and require you to bring the child for an evaluation before we recommend any medicine. We will always advise the best treatment, and when appropriate, prescribe medication according to your child’s needs.

Managed Care:

Each child is our child. We treat each child with love and care, and only want that which is in the best interest of our child. Therefore, we request that you contact our office before visiting a specialist or an urgent care facility. If you are enrolled in managed care insurance plans (i.e HMO), a referral from our office is required before seeing a specialist. All referrals may take up to 72 hours to process. After visiting other facilities, we ask that you have any and all reports sent to our office, so that we are informed and can provide you with the best care.

It is your responsibility to schedule an appointment with the specialist office. You must inform our office 72 hours in advance of the appointment for a referral to be issued to the specialist office.

Technology:

Your time is valuable. Therefore, we work hard to maximize efficiency through technology. We ask that you visit our website and download our app to schedule visits, access the patient portal, keep to date on your child’s immunization or routine care, stay tuned about Pediatric research and discoveries, or pay outstanding payments. We are also available to call at (281) 664 2152.

Office Hours:

All four of our medical locations are open from 8:00 a.m to 5:00 p.m Monday through Friday and two locations remain open from 8:00 a.m – 12:00 p.m on Saturdays. We are available during the same times virtually via ZocDoc or Doxy.me. We schedule same day visits, accept new patients any day, and see both well children and sick children daily.

After Hours:

Emergencies happen all the time. We have a doctor on call at all hours to answer your medical concerns. In the case of emergencies, we advise calling 9-1-1.

Insurance:

We understand the worries and difficulties of insurance. Click here for a list of our participating insurances. Our billing team will try their best to assist you with any queries, but it remains your responsibility to know and understand the limits and coverage of your health insurance, be able to show us your cards, and be able to pay any copays at the time of service. If need be, we are willing to work out a billing plan with you, but are required by law to bill your health plan based on federal guidelines and the actual services provided. It is your contract obligation with your insurance company to pay your deductible and co-payments. We bill participating insurance companies as a courtesy to you. You are expected to pay your deductible and co-payments at the time of service. You are responsible for all unpaid charges.

Timeliness:
The entire community is continuously making every effort to value everyone’s time. Sometimes, because of the nature of some cases, it is possible that we run a little late. Understanding the value of your time, we try and keep you informed about any possible changes in your appointment time through our app, though sometimes it isn’t possible. We request that you arrive 5 minutes before your scheduled appointment time to value both your time, our time, and the time of other patients. We hold the right to cancel your appointment if you have not arrived within 10 minutes of your scheduled time.
Missed Appointments / Late Cancellations:

Missed appointments represent a cost to us, to you, and to other patients who could have been seen in the time set aside for you. Although, we reserve the right to charge a fee for canceled or missed appointments, we are willing to consider your reasons. After your first missed or canceled-within-24 hours appointment, a $25 charge will be charged per appointment. Excessive abuse of scheduled appointments may result in discharge from the practice.Cancellations are requested 24 hours prior to the appointment. Forms for Daycare, Camp, School, etc Needed:

Patients needing daycare, physical, and/or any type of forms to be completed by the physician must allow the physician a minimum of 72 hours at least for completion of the forms. Our office reserves the right to charge up to $20.00 for each form to be completed by the physician.

Medical Records:

Patients requesting medical records must sign a release of medical records and allow 15 days for the records to be sent.

There is a medical records fee of $25.00 for the first 20 pages and $0.15 cents each additional page.

Prescription Rewrite:
Prescriptions are generally written in quantity to last until the patient’s next scheduled appointment. If it becomes necessary for our office to call in a refill for a prescription due to a patient’s failure to keep an appointment, a charge of $10.00 will be charged to you. There will be a charge of $10.00 for any triplicate prescription that must be rewritten due to loss or expiration.
